Know whose insurance lapsed before your next inspection does.
COIBinder keeps every sub's certificate of insurance, your crew's licenses and certs, permits, lien waivers and W-9s in one place. Subs upload their own paperwork from a link. You get a heads-up 30, 14 and 3 days before anything expires.
Built for shops with 1 to 20 people. No contract. Full refund before launch, no questions asked.

The paperwork only matters on the day it's missing.
Most small shops track this in a spreadsheet, an email folder and the glovebox. That works until it doesn't.
A sub's coverage lapses mid-job
You find out after they've been on site for two weeks, or when the insurance audit lands and you're paying premium on an uninsured sub.
An expired card stops the work
One lapsed license or cert can pull a tech off a call, hold up a permit or fail an inspection.
Lien waivers come from everywhere
Texts, email attachments, the truck seat. Every draw, you're piecing together who signed what before you can release payment.
January turns into a W-9 hunt
Chasing paperwork from subs you paid in March, so your bookkeeper can file the 1099s on time.
Set it up once. Stop chasing.
Add your subs and crew
Type them in or paste the list from your spreadsheet. Takes about ten minutes for most shops.
Send each one a request link
They snap a photo or upload the PDF from their phone. No account, no password, no app to download.
Confirm the dates
You check the expiration date on each document once. COIBinder handles the countdown from there.
Get reminded, and so do they
You and the sub both get an email 30, 14 and 3 days out, with a fresh upload link. You see per job who's cleared to work.
One binder for every document that expires.
| Document | What COIBinder keeps | Reminders go to |
|---|---|---|
| Certificates of insurance | General liability, auto and workers' comp per sub, expiration dates, and whether you're listed as additional insured | You and the sub |
| Licenses and certifications | Contractor licenses, tech certs like EPA 608, and continuing-ed deadlines for your own crew | You and the license holder |
| Permits | Permit numbers, issue and expiry dates, and inspection status per job | You |
| Lien waivers | Which waiver you have from each sub for each draw: conditional or unconditional, progress or final | You and the sub |
| W-9s | A current W-9 on file for every sub before you cut the first check | The sub |
What COIBinder doesn't do
- It doesn't touch your money. No payments, no bank linking, no holds on your funds.
- It doesn't file liens or give legal or insurance advice. It keeps your records straight and your dates in front of you.
- It doesn't replace your job-management software. Use it alongside Jobber, Housecall Pro, QuickBooks or a paper calendar.
- It doesn't lock you in. Export everything to a spreadsheet anytime.

Before you reserve
When does COIBinder launch?
Founding members get access first, as soon as the core tracker and reminders are ready. If it isn't live by March 31, 2027, every founding member gets a full refund.
Do my subs need to sign up for anything?
No. Each sub gets a private link. They tap it, upload a photo or PDF, and they're done. No account, no password, no app.
Does it read the dates off my certificates automatically?
You confirm the expiration date when a document comes in, which takes a few seconds. That way the countdown is based on a date a person checked.
I already use Jobber / Housecall Pro / QuickBooks. Do I need this?
Those tools run your jobs and invoices. None of them track sub insurance, licenses and lien waivers with reminders. COIBinder sits next to them.
Is this legal or insurance advice?
No. COIBinder stores your documents and tracks dates. Questions about coverage requirements or lien rights in your state belong with your insurance agent or attorney.
Can I get my data out?
Yes. Export everything to a spreadsheet anytime, including after you cancel.
